Frequently asked questions

Your ClinicDrive password is personal, and you must create it yourself. This can easily be done by tapping “Forgot PIN” under the keypad on your tablet. You will then receive an email at the address you use in ClinicDrive with a link to create a new password. Please note that this link is valid for 4 hours. If the link expires, simply repeat the process to create a new password.

New employees appear under the “New” tab in the staff overview. When their approved employment basis takes effect, they will automatically be moved to the “Current” tab in the staff overview. If a new employee has an empty job title in the overview, it means that the employment basis has not yet been approved. On the line with the employment basis, it will say “Draft”. When you click “Approve” all the way to the right, the text will change to “Approved”, and the job title will now be visible.

Always remember to create the employment basis and addenda well in advance of when they take effect, so everything is ready for the employee’s start. This ensures a smooth process and avoids delays.

When you are logged in to ClinicDrive, you will find your profile among the icons at the bottom of the page. To access your profile, click “My profile” and use the same password you used to log in. In your profile, you will be able to see a breakdown of your balances, including Holiday, Extra holiday, Time off in lieu, and more.

By tapping a specific balance, you will be able to access the underlying registration data. This allows you to easily identify the source of each registration. Please note that your balance is only updated when both you and your administrator have approved the relevant registration. This ensures that balance updates reflect the latest changes and approvals.

If you have an employee who works 4 days a week, a single day will be counted as 1.25 instead of 1. This means that when the employee works 4 days during a week, the total number of days will count as 4 x 1.25 = 5 days. This corresponds to a full week of holiday.

If you want to register absence retroactively, you can do so by making a backdated entry. Follow these steps:

Go to the Activity Plan.
Select the day for which the absence should be registered retroactively.
Create the absence as usual.
After creating the absence, you will see the option “backdated entry”.
Select “backdated entry” and follow the instructions provided to add the absence retroactively.
This way, you can ensure that your absence registrations are correct and up to date, even when they need to be added retroactively.

To make a manual adjustment up or down, you can follow these steps:

  1. Go to either “Payroll – Account specifications” or “Profile”, and select the relevant account.
  2. Click the “+” button to add a new adjustment up or down.
  3. Fill in the required information in the template, including the amount and a description.

Go to “Time approvals” in the system.
Select the option “Approved to draft”. Here you can choose the desired period and employee.
Once you have selected the employee and period, find the day you want to make changes to.
There will be a button labelled “Open for editing”. Click this button to open the day for editing.

When you want to change an employee’s working hours, you must create a new plan. If the changes are minimal, you can copy the existing plan. This opens a new week where you can make changes to upcoming work schedules. Please note that if there are changes in the number of hours, it will be required to create a new employment basis or addendum.

It is important to remember to make changes well in advance. Go to the profile and select the employment basis. Click the plus button, and from there you can terminate an employment basis. Once this is done, the employee will no longer be visible in the staff overview from the day after the termination date. In addition, they will lose access to ClinicDrive.

How do you get started?

  • We start the journey together

    The first step is to contact us. We will then help you get started, and through our close collaboration we will set a clear direction for your system.

  • Onboarding, setup and training

    We set everything up with your clinic owner and a selected ClinicDrive administrator. After that, everyone is onboarded and properly prepared to use the system.

  • We go live with the system

    Now the system is running as it should, and everyone is trained to use ClinicDrive. After it goes live, you can always use our free support.
