Payroll administration
ClinicDrive supports a fast and error-free calculation of the payroll basis for all clinic employees. With ongoing reconciliation of discrepancies and a systematic month-end closing process, it becomes easy to establish the correct basis for payroll payments. Employees can view their own balances and accounts—this increases transparency and strengthens confidence in the payroll calculation basis. Based on payroll mapping, you can generate a CSV file for direct import into your payroll system, eliminating the risk of manual data-entry errors.

Month-end closing
At the end of the month, it is likely that most entries will already have been reconciled through ClinicDrive’s approval process, providing a solid basis for payroll administration. You can then complete the final adjustments and ensure everything is ready for payment. This prevents backlogs and ensures high quality in the payroll basis. The month-end closing follows a systematic process of reconciliation, control, and payroll payment. Finally, an archive file is generated that stores all entries forming the basis for the payments.

Balance overview
In ClinicDrive, the clinic administrator has quick and easy access to a consolidated overview of all employees’ balances. This includes balances for vacation, additional vacation days, time off in lieu, and sick leave. The overview is continuously updated and provides information as of the current date.

In the system, it is possible to view one or more accounts for a specific employee. This may be necessary for the administrator, for example in cases of reimbursements or disputes. The administrator is also authorized to make manual account postings with supporting documentation. Employees can also view their own account transactions.

Archive
In the archive, you can search for previously prepared payroll bases, divided into different payroll periods. When a payroll period is closed, the employee automatically gains access to their personal archive, where they can view previous payroll bases.

At the end of the year, it is necessary to close the vacation year. ClinicDrive’s year-end closing function makes this process simple by enabling payment of any remaining vacation, or transfer of it to the upcoming vacation year.

With ClinicDrive, you can easily define payroll periods so they match the clinic’s payroll cycle precisely. This ensures that the calculation of vacation and additional vacation days is always carried out correctly.

Payroll integration
Payroll mapping forms the foundation for close integration with your payroll system, enabling seamless entry or import of all reconciled calculations using a CSV file. You can create different payroll mappings as needed. While it is possible to enter payroll data manually in the payroll system, this increases the risk of errors. For that reason, it is recommended to generate a CSV file in ClinicDrive that can be imported into your payroll system.
