Where do clinics typically go wrong when it comes to quality and documentation?

Often, there is uncertainty about what actually needs to be documented—and a lack of insight into what really happens in day-to-day operations. Procedures become “something we do,” but not something that is clearly described or followed up on.

What has been your role in developing the quality management system?

I have contributed content on best practice within hygiene, X-rays, APV and MUS. I have worked with quality management systems in dental clinics since 2008—both ISO certification and practical quality assurance.

What characterizes clinics that have quality under control—versus those that ‘keep it in their heads’?

You cannot just keep it in your head. There are too many details, and in a busy day-to-day routine, things are forgotten. Clinics that have quality under control have clear procedures and documentation that is actually used.

What would you say to the clinic owner who thinks: “Quality systems take too much time”?

The implementation time pays off many times over. Once the system is in place, it provides peace of mind, clear task allocation, and easy onboarding of new employees. Nothing is forgotten—not even the documentation.

What was your biggest eye-opener in developing the quality management system?

How cumbersome and vulnerable quality management was before digital systems.
Binders, manual logbooks, and person-dependent knowledge made quality reactive rather than part of everyday practice.

What has the process of developing the quality management system been like?

The process has been both thorough and inspiring. ClinicDrive has been developed over six years, and the latest update to the quality management system is the result of close dialogue with our existing customers. The goal has always been to improve everyday life across clinics, and I believe we have succeeded well.

How have you ensured that the system fits into a busy clinic day-to-day?

By consistently focusing on simplicity, stability, and time savings.

What are you personally most proud of?

Why did ClinicDrive decide to update the quality management system?

The short answer is: Because the market has asked for it. More specifically, there has been demand for a more unified, digital, and up-to-date solution where documentation, tasks, and responsibilities are not scattered.

Why is there a need for a quality management system in clinics’ day-to-day operations?

All clinics are subject to the same rules. The only difference is how many hands are available for the tasks. In larger clinics, more people are involved—and in smaller clinics, fewer. But the tasks are the same. Without structure, a situation quickly arises where everyone is responsible—and therefore no one is responsible.

How does the quality management system differ from other solutions on the market?

It is not a generalist system. It has been developed in close collaboration with dentists over several years and is a complete solution with procedures, tasks, deviations, and APV—we often call it an ISO-light. Just less bureaucratic.

What are you personally most proud of?

I am most proud that you do not start from scratch. When you get the system, it is already filled with checklists, structure, and content. You can customize it—but you do not start from zero.
