Tandlægerne Fyrvej has over 40 employees. Yet the rota was still an Excel sheet pinned to the staffroom noticeboard, and every shift had to be checked manually against employees' working hours. The quality management system was outdated and only covered quality. Time tracking, time off in lieu and holidays were recorded in another system. And workplace assessments, risk assessments and safety data sheets were stored in a third. That meant logging into multiple systems just to keep everyday clinic work on track.
That was what prompted the decision to find a new solution.
“We now have one place for HR, staff management, shift planning, quality and workplace health and safety assessments. So we no longer have to log into four, five or six different systems.”– Rikke Falkenby Skytte, direktør hos Tandlægerne Fyrvej
They did the groundwork
The new system wasn't going to be chosen based on a couple of demos and a gut feeling. Fyrvej contacted several suppliers, had an introduction to each system, then built their own comparison chart. For each system, they noted what it could and couldn't do, how intuitive it was and what was missing. Each criterion received a green, yellow or red rating.
“It was important to us to do the research thoroughly, so we could be sure we were getting the system that best suited us and our clinic,” says Rikke.
Why ClinicDrive came out on top
With over 40 employees, a rota can quickly become difficult to manage. This was one area where Rikke noticed a clear difference:
“It's incredibly intuitive, and ClinicDrive offers flexibility in so many ways that you can adapt it to the way you want to work,” says Rikke, adding:
“ClinicDrive gives you a clear overview – the layout is easy on the eye, so it's simple to see what you need to do today.”
Where Rikke expects the biggest difference
Fyrvej already has quality management under control – it is something the team is used to working with. The biggest benefits, Rikke points out, lie elsewhere: staff scheduling, keeping contracts together, workplace health and safety, and chemical risk assessments.
“Safety data sheets come straight into the system when we buy chemical products, and it generates the risk assessments automatically. When our coordinator prepares the staff schedule and assigns someone outside their working hours, or accidentally assigns two employees to the same task, a notification automatically flags the conflict so it can be corrected straight away,” says Rikke.
The result: less time spent managing the system and more time for the clinic and its patients. And, just as importantly, greater peace of mind.
Fyrvej has not completed implementation yet, but Rikke already feels confident about what lies ahead. The team feels well prepared, with a support agreement to rely on if any questions arise along the way.
